Registration Tips and Rules

Here you can find some tips for your registration at the ECMTB 2018. We hope this guideline will be helpful! In case of any doubt, do not hesitate in contacting us! Thank you for your collaboration!

 

Steps for Registration and Participation

 

- REGISTRATION FORM & PERSONAL INFORMATION: Please fill the registration form with personal information, including any dietary restriction you have. After your registration is complete, you will receive an email with a code to access your Personal Area. If you are member of ESMTB, EMS, SPM or SMB, do not forget to choose the appropriate society in the registration form. (In case you do not receive an email within a few minutes, check your Spam box or contact us - info@ecmtb2018.org)

 

FEE PAYMENT, MINISYMPOSIUM APPLICATION AND ABSTRACT SUBMISSIONS ARE ONLY POSSIBLE after you have created your personal account!


- MINISYMPOSIUM APPLICATION AND ABSTRACT SUBMISSIONS: Using your PERSONAL AREA, you will be able to submit abstracts for a Contributed Talk or a Poster or submit a Minisymposium application. Changes can be done whenever necessary until the submission deadline is over.


FEE PAYMENT:  choose your fee category and comply with its deadline for payment. This platform is prepared to issue your pro-forma invoice on-line. To avoid possible errors in the process of the pro-forma invoice (and later of the receipt), please be sure to have at hand the correct and complete information needed to fill your registration form (name of the Institution and/or participant, fiscal number and the corresponding address). Before you proceed to payment, changes on your registration form will still be possible.

NOTE: If you are contributing with a poster or a talk at a contributed session or at a minisymposium, please pay the registration fee before June 1, 2018, for otherwise your contribution cannot be included in the final program of the Conference. IMPORTANT: submission and presentation of oral communication is limited to one per participant, although a participant may be a co-author of other communications.

Payment can be done via Paypal or Bank Transfer. In the case of payment by bank transfer, please note that we must receive the total value free of bank charges.

  • If you choose to pay via Paypal, you will be redirected to the Paypal website. In this first step, a pro-forma invoice is generated and, after the payment is confirmed, the receipt is issued automatically, available in the participant's personal area.
  • In case you choose to pay via a bank transfer, you will receive an email with the bank account detailes which you should use for the transfer. The pro-forma invoice will be handled by the conference secretariat, as soon as the proof of payment is sent to spm@spm.pt

Note that for bank transfers, payment confirmation takes up to 7 days. Your receipt will be issued and available on-line, in the participant's personal area, for printing after that. If you do not receive a confirmation by e-mail, within 7 days, please contact us.

The pro-forma invoices and receipts generated by this platform are legal documents and can be printed. Changes in the pro-forma invoices /receipts could be possible by issuing a note of credit, but this is heavy work for the secretariat and may require hand, so please try to give the correct information beforehand.

For participants which are not presenting a poster or a talk (attendance only), payment at the conference site should be possible, but it is NOT recommended, since it involves delay in the receipt issuing.

 

Registration Fee Information:

Registration is needed for any participant including invited speakers of minisymposia. Payment will be handled through the participant's PERSONAL AREA.

SPECIAL INVITATION: The ESMTB, to celebrate the Year of Mathematical Biology 2018 and wishing to extend its membership to other researchers in the area, invites every participant that is not yet an ESMTB member to become a member and welcomes those accepting such invitation by exempting them of the first year membership fee. If interested, please tick the appropriate box in the registration form here. NOTE: If you accept the invitation, it takes effect after you becoming a Conference participant, that is, after payment of the ECMTB 2018 registration fee, so the Conference fee should be according to your current status (prior to becoming an ESMTB member).

 

(*) Members in good status (membership fees settled) of the following scientific societies: European Society for Mathematical and Theoretical Biology (ESMTB), European Mathematical Society (EMS), Sociedade Portuguesa de Matemática (SPM), Society for Mathematical Biology (SMB). For cross-checking purposes, please tick the appropriate society(ies) box(es) in the registration form.

 (**) Please include a letter from your supervisor confirming your student status.

 

Payments

For fee payment, please use your personal area. Choose your fee category and comply with its deadline for payment. The platform is prepared to issue your invoice on-line. All fees are in Euros (€), free of VAT, according to Portuguese legislation (article 9 VAT Code). In the case of payment by bank transfer, please note that we must receive the total value free of bank charges.

NOTE: If you are contributing with a poster or a talk at a contributed session or at a minisymposium, please pay the registration fee before June 1, 2018, for otherwise your contribution cannot be included in the final program of the Conference.

 

Cancellation Policy:

Requests for registration cancellations and refunds must be submitted in writing to the Secretariat of the Conference (spm@spm.pt) not later than June 1st, 2018. No refund requests will be granted after that date. An administrative €50 fee will be deducted from all registration refunds.
